Privacy Policy

This Privacy Policy describes how allaround Concierge Care ("allaround," "we," "us," or "our") collects, uses, discloses, and protects information when you use our website, contact us, apply for a job, or interact with our digital tools and services.

We are a Florida-licensed, non-medical home health agency serving Miami-Dade and Monroe Counties. We take the privacy and security of your information seriously and maintain safeguards in line with healthcare, federal, and state expectations.

Important: This Privacy Policy covers everything we collect about you, whether through our website and forms or in the course of providing care. There is no separate notice to read.

Information we collect

We may collect the following categories of information.

Information you provide directly

• Contact and inquiry information (e.g., name, phone number, email address, city or ZIP, relationship to client) when you request a consultation or contact us via website forms, phone, email, or chat, or when you download resources or sign up for newsletters.
• Potential client information you choose to share in free-text fields, such as basic details about the person who may need care and general health, mobility, or support needs. We ask that you do not include detailed medical records or highly sensitive information in website forms.
• Care Professional and job applicant information, including contact details, work history, qualifications, licenses, and certifications, along with information submitted through our recruiting and HR platforms (e.g., Apploi, Vivantium).
• Professional partner information, including contact and business information from referral partners or community professionals.

Information collected automatically

When you visit our website, we and our service providers may automatically collect:

• IP address, device type, browser type, and operating system.
• Pages visited, time and date of visit, time on page, and referring or exit pages.
• General location based on IP (e.g., city or region, not exact address).
• Interaction data with forms, buttons, and calls-to-action.

We may use cookies, pixels, and similar tracking technologies for these purposes. You can adjust browser settings to block or delete certain cookies, although this may impact site functionality.

Information from third parties

We may receive information from:

• Healthcare and community professionals (e.g., physicians, discharge planners, social workers, community organizations) who provide your contact information so we can respond to a care inquiry. We obtain our own consent from you directly before sending any text messages.
• Recruiting and HR platforms (e.g., Apploi, Vivantium) regarding your application status and documents.
• Analytics and marketing tools that help us understand site usage and communication effectiveness.

We use such information in accordance with this Privacy Policy and applicable agreements.

How we share information

We do not sell your personal information. We may share information with the following.

Service providers and vendors

Trusted third parties that perform services on our behalf, such as:

• Website hosting, analytics, and CRM platforms.
• Electronic visit verification, scheduling, and care management platforms.
• HR, payroll, recruiting, and training platforms (e.g., Apploi, Vivantium, Nevvon).
• Email, SMS, and communication service providers.
• IT security, backup, and support providers.

We enter into written agreements with these vendors that require them to protect your information and to use it only to provide their service to us.

Referral and professional partners

With your knowledge and consent, we may share relevant information with:

• Physicians, care managers, attorneys, or other professionals involved in your care.
• Senior living communities or referral sources, when coordinating services.

Legal, regulatory, and safety disclosures

We may disclose information when we believe it is necessary to:

• Comply with applicable laws, regulations, legal processes, or governmental requests.
• Protect the safety, rights, or property of clients, Care Professionals, staff, or the public.
• Support investigations into fraud, abuse, neglect, or other serious concerns.

Business transfers

If we are involved in a merger, acquisition, partnership, or sale of all or part of our business or assets, information may be transferred as part of that transaction, subject to confidentiality obligations and applicable law.

Health information, and how HIPAA applies to us

We are a private-pay, non-medical home care agency. We do not bill Medicare, Medicaid or private insurance, and we do not send claims electronically to any health plan. That means we are not a HIPAA covered entity, and we do not claim to be one.

That does not make your health information any less protected here. Florida law treats a person's medical history, physical or mental condition and diagnosis as personal information, and it requires us to keep that information secure and to dispose of it properly when we no longer need it. We hold ourselves to those duties, and we apply the same care to health details you share with us that a medical provider would.

Because we are a licensed home health agency, Florida law (section 400.494, Florida Statutes) makes information about our clients confidential, and lets us share it with anyone other than the client only in the ways the HIPAA Privacy Rule would allow. We follow that standard whenever we share a client's information. We do this because Florida law requires it, not because we are a HIPAA covered entity.

• What we hold: the care notes, service records, nurse assessments and billing records created while we care for your family, along with anything you tell us when you first get in touch.
• Website inquiries: an initial inquiry may include health details, and that is expected. Please avoid sending full medical histories or highly sensitive clinical records through a web form. Bring those to the nurse visit instead.

Cookies, tracking, and analytics

We and our service providers may use:

• Cookies, small text files stored on your device to remember preferences and improve experience.
• Pixels and tags, code snippets that help measure interactions (e.g., email opens, ad performance).
• Analytics tools, to understand how visitors use our website and improve content and navigation.

We use three analytics tools on this website: Google Analytics, PostHog and Microsoft Clarity. They record which pages you visit, how you arrived, and whether a form was submitted. When you arrive from an advertisement, we also record the advertising click identifier that brought you here, so we can tell which advertising is working.

PostHog and Clarity also make session recordings: a replay of how the page was used, such as scrolling, clicks and which questions were reached, so we can see where the site is confusing. Everything typed into a form is hidden from these recordings, and they are not linked to your name or phone number.

Advertising and remarketing. We use Google Ads, including remarketing, to show our ads to people who have visited this website. We do not use visits to pages about specific health conditions, such as memory care or care after a hospital stay, for advertising. You can turn off personalised ads from Google at adssettings.google.com.

We do not send them what you type. Your name, phone number, and any message you write in a form are never passed to an advertising or analytics provider. They receive only the fact that a form was submitted, never its contents and never any health information about you or your family member.

Where required by law, we will display a cookie or tracking notice and obtain consent. You may disable certain cookies in your browser settings; some features may not function optimally if you do. We do not knowingly allow third-party advertisers to use our site to collect or infer sensitive health diagnoses about visitors for unrelated advertising.

Email, SMS, and automated communications

When you provide your contact information, you may receive:

• Transactional messages related to inquiries, appointments, or services.
• Educational or informational emails about home care, if you opt in.
• Occasional marketing communications about our services in Miami-Dade and Monroe Counties.

Text messages (SMS/MMS)

By providing your phone number to allaround Concierge Care (operated by ALL-AROUND CARE FLORIDA LLC, d/b/a allaround Concierge Care), you consent to receive text messages related to appointment scheduling, confirmations, and reminders; follow-ups on care inquiries and consultation requests; care coordination updates; and periodic re-engagement messages about our home care services. Message frequency varies. Message and data rates may apply.

Opt-out: You can opt out of text messages at any time by replying STOP to any message. You will receive a one-time confirmation that you have been unsubscribed. After opting out, you will no longer receive SMS messages from us unless you re-subscribe.

Help: Reply HELP to any message for assistance, or contact us at (305) 380-2853 or office@allaround.care.

Carrier disclaimer: Carriers are not liable for delayed or undelivered messages. Message delivery is subject to effective transmission by your wireless carrier.

How we obtain consent to text you

We send text messages only to people who have given allaround Concierge Care their own permission to do so. You can give that permission in two ways: by checking the SMS consent box on a form on this website, or verbally during a phone call with our staff, in which case we record the date and time of your consent. In both cases we send a confirmation text first, and we do not send anything further until you reply YES.

Consent you may have given to another company does not authorize us to text you. We ask for our own permission, directly, every time. You may withdraw it at any time by replying STOP.

Supported carriers: T-Mobile, AT&T, Verizon, and all major U.S. carriers are supported.

Privacy: No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

See this Privacy Policy for full details on how we handle your data. We may use automation and AI-assisted tools to help draft, personalize, and deliver certain communications. These tools are configured to support, not replace, human decision-making, and we apply appropriate access and security controls.

AI-assisted tools and electronic systems

To streamline operations and support Care Professionals and clients, we use modern digital tools, including:

• Electronic scheduling, care coordination, and documentation platforms.
• Care Professional and nurse mobile apps for viewing assignments and entering visit information.
• Online onboarding, training, and continuing-education platforms.
• AI-assisted features for scheduling optimization, reminders, and standardized communications.

These tools are used to reduce manual errors, save time, and improve clarity, not to make clinical diagnoses or replace professional judgment. We implement safeguards, role-based access, and training to protect information processed through these systems.

Data security

We use reasonable physical, technical, and administrative safeguards to protect information from unauthorized access, use, or disclosure, including:

• Encryption and secure transmission for sensitive data where appropriate.
• Access controls and role-based permissions for staff and Care Professionals.
• Training on privacy, security, and acceptable use of systems.
• Backups and continuity planning for critical systems.

No system can be guaranteed fully secure, but we continuously work to improve and maintain our security posture.

Data retention

We retain information for as long as reasonably necessary to:

• Fulfill the purposes described in this Policy.
• Provide services or respond to requests.
• Comply with applicable laws and regulatory record-keeping requirements.
• Resolve disputes and enforce our agreements.

Retention periods may vary depending on the type of information and legal requirements (e.g., healthcare and employment records under Florida and federal law).

Your choices and rights

Depending on your location and applicable laws, you may have certain rights with respect to your personal information, such as:

• Accessing or requesting a copy of certain information we hold about you.
• Requesting corrections to inaccurate information.
• Requesting deletion of certain information, subject to legal and regulatory limits.
• Opting out of certain marketing communications.

To exercise these rights or update your information, please contact us using the information below. These choices apply to every kind of information we hold about you, including health details recorded while we provide care.

Children's privacy

Our website and services are not directed to children under 13, and we do not knowingly collect personal information online from children under 13. If we become aware that such information has been collected, we will take steps to delete it as required by law.

Third-party websites and links

Our website may contain links to third-party sites or services (e.g., educational resources, referral partners, application portals). We are not responsible for the privacy practices or content of those third parties. We encourage you to review their privacy policies before providing any information.

Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will update the "last updated" date at the top of this page and, where appropriate, provide additional notice. Your continued use of our website or services after an update signifies your acceptance of the revised Policy.
